What these documents are for

The largest category in the library, and the one with the clearest return. Most lost work in a trades business is not lost to a cheaper competitor — it is lost to silence. A quote goes out, the customer means to reply, the week gets away from them, and by the time they think about it again somebody else has answered the phone. A single follow-up two days later recovers a meaningful share of that.

These templates cover the full arc of a customer relationship. The first response to an enquiry, sent fast, because response speed predicts who wins the job more reliably than price does. Appointment confirmations and reminders that cut no-access visits. The running-late message, which costs nothing and prevents the single most common complaint in the trade. Quote follow-ups at two days and at a week, written to prompt a decision without nagging. Polite payment reminders at seven, fourteen and thirty days that escalate in tone without ever burning the relationship. Review requests timed for the moment the customer is happiest, which is the hour after the job is signed off, not a fortnight later.

There are also the harder ones: apologising properly when something has gone wrong, declining a job you do not want, telling a customer their quote has increased because of what you found, and closing down a customer relationship that is costing more than it earns. These are worth having drafted in advance precisely because you will need them on a day when you are annoyed and tired.

Each is a Word file with obvious placeholders for name, job and date. Adjust the tone to sound like you — a template that sounds like a call centre performs worse than a scruffy message that sounds like a real person — then save your versions and reuse them.
