Quoting and invoicing is where most small trades businesses lose money, and it is rarely because the price was wrong. It is because the quote was a text message with no scope, so the customer assumed the making good was included. Or because the invoice went out three weeks after the job finished, missing a piece of information HMRC requires, and sat unpaid while the customer decided whether it was really due yet.

The templates in this category fix the document side of that. The standard quote sets out the scope, what is excluded, how long the price holds and what happens if the job changes once the boards come up. The three-option quote — good, better, best — moves the conversation from whether to buy to which one to buy, which is generally the more profitable conversation to be having on a doorstep.

On the invoice side there are two versions because UK trades genuinely need two. A standard VAT invoice covers ordinary work for homeowners and end users, and carries the details a valid VAT invoice must show: your VAT number, the invoice date and number, a description of the supply, the net amount, the VAT rate and the VAT charged. The second is a CIS domestic reverse charge invoice, for construction services supplied business-to-business where the customer is VAT registered and CIS registered and is not an end user. On those, you do not charge VAT — you state that the domestic reverse charge applies and that the customer accounts for the VAT. Getting that wrong in either direction causes real problems at the next return.
