What these documents are for

Gas work carries the heaviest documentation burden of any domestic trade, and rightly so. Only a Gas Safe registered engineer may work on gas appliances and pipework, and the record you leave behind is what proves the work was done competently if anyone ever asks — an insurer, a landlord's letting agent, a solicitor during a sale, or the HSE.

An important boundary first. The statutory documents — the Landlord Gas Safety Record (CP12) and Building Regulations notifications through a competent person scheme — are issued through Gas Safe Register's own systems and appliance-specific manufacturer paperwork. Nothing here replaces those, and no template should. What this category covers is the substantial layer of supporting documents around them that most engineers currently retype job by job.

That includes service and maintenance records for commercial and private work, commissioning and hand-over sheets confirming what was installed and what settings were left, warning notices for appliances classified as At Risk or Immediately Dangerous, customer advice notes explaining why an appliance was capped and what happens next, and annual service reminders that keep a heating customer on your books rather than a competitor's.

The warning notice templates matter most. When you classify an appliance under the Gas Industry Unsafe Situations Procedure, disconnect it and turn it off, you need the customer's signature acknowledging the situation and a copy of that record retained. That signature is your protection if the appliance is later reconnected by somebody else and something goes wrong.

Each file is an editable Word document with your details and Gas Safe registration number added once. Use them alongside your scheme paperwork, not instead of it, and keep copies for at least two years — longer if the customer is a landlord or a managing agent, who will ask for the history far more often than a homeowner will.
