Free vehicle and pest control document templates

Two related sets of documents here, both belonging to trades that live in a van and carry things that need recording.

The vehicle documents apply to every mobile trade. A daily or weekly walkaround check — tyres, lights, fluids, load security, bodywork damage — takes two minutes and matters for three reasons: it is a legal expectation that vehicles are roadworthy, it is the first thing an insurer looks for after an incident, and it catches the slow puncture before it becomes a missed morning. The mileage log supports business mileage claims, which HMRC expects to be contemporaneous and evidenced rather than estimated at year end. There are also maintenance and service records, and a driver declaration covering licence checks and penalty points, which is worth having on file for anyone driving your vehicles.

The pest control documents cover a trade with genuinely strict requirements. Professional use of pesticides and rodenticides in the UK requires appropriate certification, and stewardship regimes for anticoagulant rodenticides expect users to hold an approved qualification and to demonstrate compliance with the label and with best practice. The treatment record here captures the product used, the active ingredient, the batch, the quantity, the location of each bait point, the target species, the date and the technician — the information that must exist if a stewardship audit or an incident investigation ever occurs.

The customer advice note is the other half. After a treatment the client needs to know what has been placed and where, the re-entry period, the risks to children, pets and non-target wildlife, what to do if bait is disturbed, and when you will return to monitor. Handing that over in writing is both good practice and good protection.
